5 Tips for organizing your email

organizing your email

Not knowing how to handle a large number of emails can be a problem. Therefore, today we show you a series of tips to organizing your email.

An average user receives an average of 147 emails a day, and spends about two hours managing them.

Unfortunately, not all of us have so much time to dedicate to it and sometimes this can be a problem for us. In fact, there are those who don’t mind having thousands of emails in their inbox.

However, this is not entirely “healthy” for your work. And it is that you must know how to organizing your email, since this way you will be more productive in our day to day.

To help you with this task, we show you a series of tips so you can learn to better organizing your email.

1. Turn off email alerts

Unless, for work reasons, you have to answer everyone the minute you receive an email, the best thing you can do is turn off the alerts in your inbox. And this is against your productivity.

According to a study from Loughborough University, it takes an average of 64 seconds to fully regain concentration once we open an email, which prevents us from completing a task in the most optimal time if you have to be looking at your email continually.

You have to keep in mind that most of the emails we receive do not require an immediate response , so we suggest that you look at these messages two or three times a day so that they do not disturb your concentration.

2. Avoid being impulsive

An average user deletes an average of 71 e-mails out of the 147 that he receives daily, which takes about 5 minutes.

If we do a few math operations, this takes about 24 hours a year. Surprising, right? You waste an entire day of your life deleting emails that don’t interest you!

To make up for some time, we recommend you take a look at this tutorial , which will allow you to  unsubscribe from all those mailing lists that you are signed up for and don’t know why. We promise that it will not take more than 5 minutes.

3. Learn to dive in your email

Many are those who deny the option of archiving emails for fear that later they will not be able to find an email. However, in Gmail this does not imply that you are deleting a message; you will only be moving it from folder.

Locating an email today is easier than ever if you find the keywords. We recommend organizing your mail by clients, sectors or e-mails from other colleagues in your company, although it all depends on the type of work you do.

4. Organize your inbox

This will take a lot of weight off you, even if it is a real headache at first.

For example, you can start moving all those emails that exceed 30 days and that you have not checked again. Remember that you are not deleting them, you are just moving them from folder. Of course, if you think that one is useless today … Do not be afraid and delete it!

5. Clean up your inbox

Here you should leave only the messages that need your maximum attention. Several studies show that we can only serve seven things at a time, so we recommend that you do not have more than this number of emails in your main tray.

This will be especially useful when focusing your effort.

As it will not be possible for many of us, we recommend you take a look at Boomerang, an extension for Gmail that will allow us to schedule shipments. Thus, we can later manage all those emails that do not require much attention so that they reach us at another time of the week (where we will be more clear).
